GCC Operations Manager

Position Title and Compensation 

Georgia Conflict Center (GCC) is looking for an Operations Manager, a vital role and key member of our small team, to work 20 hours per week beginning January 2025. The OM will be compensated at an hourly wage starting between $18 and $22 per hour – depending on experience – and paid on a bi-weekly or monthly basis. 

Key OM duties and responsibilities are detailed on the following pages. The next three sections pertain to all GCC staff, collaborators, and board members.

Georgia Conflict Center is a nonprofit organization based in Athens, GA that is committed to building peace with justice by advancing restorative practices within communities, schools and institutions. We build community capacity through training, coaching, and facilitation in the areas of nonviolent communication, conflict transformation, and restorative justice.

GCC is a relatively young non-profit organization whose leadership, contractors (collaborators) and Board are committed to internally serving one another in the way(s) we try to serve every client. Conflict is inevitable, violence is not is a powerful six-word claim. Our small team of staff members, board members, and collaborators honor one another by reliably creating and following through with quality work, and being respectful and transparent about conflict before it impacts our work. GCC Team and Organizational Agreements

1. We honor the GCC mission of building peace with justice in the communities we serve and in every aspect of our work together. 

2. We offer flexibility in work schedules whenever possible; simultaneously we are committed to communicating our needs in advance so that clients, partners and teammates are fully supported. 

3. Our team utilizes Microsoft Word/google docs, Excel/google sheets, and PowerPoint/Slides. Familiarity with other platforms, apps or technologies may be sought based on unique positions (e.g., website editor, Quickbooks, Adobe, donor CRM system, MailChimp, Canva, Instagram, Facebook).  

4. We regularly update one another, our partners, clients, and board leadership of work statuses, milestones, and are transparent and open for input when faced with issues or constraints.

5. We commit to communicating (both verbally and in writing) with clarity, integrity and being helpful to one another. 

6. Completion of a background check may be required, depending on one’s role. 

7. Every team member (including shorter-term roles, i.e., university interns) receives at least six modules of Restorative Practices training, as this is the foundation of everyone’s work. 

Skills, Knowledge, Abilities, Aptitude Requirements for OM Include:

1.  Proficiency in Microsoft Suite (minus One Note and Access), and Google Drive, Docs, Sheets, Slides, Calendar.

2. Understanding of accounting principles; budgets and a willingness to learn Quickbooks, if unfamiliar with this bookkeeping software. 

3. Use or familiarity with editing functions within major social media platforms, particularly Instagram and Facebook.

4. Basic use or familiarity with donor management platforms (e.g., Bloomerang, Kindful) or other CRM systems. 

5. Use or some degree of familiarity with Canva, digital newsletter editors (e.g., MailChimp), and website editors—on which you’ll be trained.

6. Clear writing and proficient math skills for contracts, reporting, financial management.

7. Agreement to a basic background check. 

8. Preferred: Two- or four-year degree and some non-profit experience.

Specific Duties for Operations Manager Include:

1. Maintain federal and state licenses and notifications. Maintain systems, platforms or applications contracts (e.g., Adobe, Bloomerang, google suites).

2. Report work milestones or issues to Executive Director  and/or board each month.

3. Communicate with ED, staff, board president (and sometimes interns) via phone, email in a timely manner. Set up and attend meetings, including weekly staff meetings. 

4. Respond to website (google) forms, email, and social media in a timely manner.

5. Coordinate with Relationship Manager on the quarterly creation and publication of digital newsletter; coordinate on Winter Giving Campaign printed materials mailing with RM. 

6. Financial duties include: 

  • Coordinate payments to collaborators and GCC expenses to vendors with our bookkeeper and ED via mail, include images of checks, receipts, etc in a timely manner
  • Maintain physical and digital files on income and expenses, and on grants, funds, contracts, and programs with printed materials 
  • Process/deposit payments
  • Support staff with invoicing when needed
  • Quickbooks
    • Run reports for Executive Director and/or Board as needed
    • Update the annual budget with actual income and expenses on a monthly basis

7. General office duties include:

  • Renewing liability insurance; researching rates for existing or new vendors
  • Purchasing office supplies and training materials
  • Developing a google calendar of important GGC dates and deadlines
  • Delivering and retrieving mail, checks to/from post office and the bank
  • Assist in keeping GCC files clearly organized including receipts, copies of checks, payments received
  • Assist in the development of GCC promotional materials

8. Donors, Fundraising and Community Relations Activities

  • Mail merge winter giving campaign letter to be received by mid-November
  • Assist RM with coordinating annual Winter Fundraising Campaign and two annual events
  • Provide donation tax statements to donors by mid-January each year
  • Keep business and donor databases updated (e.g., Bloomerang)
  • With assistance, manage social media accounts, including 1-2 posts per week that are relevant, timely and related to our work at hand
  • Regular search for grants and new fundraising opportunities
  • Assist RM with Donor Acknowledgement Process and efforts at extending our fundraising reach and efforts in the local community and beyond

9. Training Programs, as needed and directed by ED

  • Participate in at least one training program (these will be paid for by GCC)
  • Coordinate, help promote, handle logistics and client contact for training
  • Assist in the development and management of program materials and curriculum  (coordinate with ED and Sr. Program Coordinator on this)

10. Accountability

  • Annual Evaluation by Executive Director and ongoing feedback
  • Meeting milestones/deadlines; the scope of work and specific deliverables are determined by and with direction from the ED
  • All other aspects of employment are outlined in the Personnel Policies and Procedures being used by the GCC Board
